How to Reserve Equipment

using Cheqroom

Learn how to properly gain access to equipment and facility spaces by making a reservation using our Cheqroom app.

Rules and Procedures.

The official onboarding process to gain access to Cheqroom includes:

  1. Self-enrolling in the MEA Canvas for Student Support.
  2. Reviewing Student Handbook.
  3. Reviewing the Cheqroom: How To video above, all rules, procedures and FAQs listed here.
  4. Completing the Cheqroom assessment on Canvas.
  5. Complete any necessary equipment assessments in Canvas before reserving.

Students who miss the in-class onboarding session should make an appointment with an MEA team member at their earliest convenience.

When you’re ready to reserve, download the Cheqroom app for iOS or Android. You can also sign up on desktop here
  1. Sign in using your student email address ending with my.canyons.edu.

  2. Click Log in with SSO.
  3. Sign into Canyons ID with your student account credentials.
  4. You’ll be rerouted back to Cheqroom.

You must have up-to-date and active contact information in Cheqroom in order to reserve equipment.

Training by an instructor is required on each item you want to check out in order to use the piece of equipment. If the required training on the piece of equipment is not complete, the equipment will not be released to you.

MEA staff and faculty are unable to book equipment and/or facility spaces for students. You must create your own reservations.

Cheqroom requires that all reservations be made at least one day (24 hours) in advance. No same day reservations/check outs are allowed.

You must have a reservation in Cheqroom in order to pick up equipment. Equipment will ONLY be released to the person the reservation is made under.

When reserving equipment, you must enter your pre-assigned project code, MEA class section, and your group member’s first and last names (if applicable).

To allow for fair access to equipment, you may reserve only a certain number of one type of equipment.

If you are booking a facility space, you must be enrolled in a production course that has been trained on the space. (i.e. a film production student needs to have knowledge on how to use the studio and its features.)

Before editing your reservation, it should be noted that doing so would put the reservation as a draft again and reset the time slot.

Editing your reservation during the 24-hour window before pickup will reset the time.

To edit your reservation,

  1. Click Reservations, next click the Reservation you want to change.
  2. Click Actions, then Edit which puts the Reservation in Draft again.
  3. Make the necessary changes.
  4. Finish by clicking Reserve to book the reservation again.

If you need to cancel your reservation, you must do so at least 24 hours prior to your scheduled time in Cheqroom. Failure to cancel within the 24-hour window (no shows) may result in suspension.

You will need to bring:

  • Your valid COC Student ID card. Digital ID cards will not be accepted.
  • Your reservation number found in the Cheqroom confirmation email.

Check in with MEA staff in Mentry Hall 325 when you arrive to pick up your equipment.

If you’re more than 10 minutes late to pick up your equipment, your reservation will automatically be canceled. You are solely responsible for re-booking a missed reservation.

It should be noted that equipment will only be released to the person the reservation is made under.

Before you leave the facility, you are required to check all equipment. You are responsible for any nonfunctional, damaged or missing equipment and accessories. If damages are not reported or noted prior to you leaving the facility, you may be held liable.

Do NOT leave any equipment unattended for any length of time. You  are solely responsible for any lost, stolen or damaged equipment. If any gear is found to have been left unattended, it will be confiscated and you will face disciplinary action.

Do NOT leave any equipment in a vehicle under any circumstance. You will be responsible for excessively hot, cold and/or stolen equipment.

Do NOT use any equipment in the rain or at the beach. You will be responsible for any equipment damaged as a result of negligence.

All damaged equipment must be documented immediately. You should message the MEA team directly through Cheqroom and document what happened and provide photos.

Do NOT operate or handle equipment you are not authorized to use. For example, if Student A has a groupmate (Student B) who checked out a camera, and Student A is not trained to use the camera, only Student B may operate the camera. Student A may not operate the camera.

You must arrive on time with all equipment present. There is a 10-minute window after the scheduled check in time where you may return the equipment without penalty. You will face disciplinary action if you are late.

If you have checked out multiple pieces of equipment, each item on the reservation must be returned at the same time in full. You will face disciplinary action if you are late.

The date and time you selected to bring back your equipment must be adhered to. We are unable to accept any early or late equipment.

All equipment must return in the same condition it was in when you picked it up.

If you are wrapping up the use of a facility space (edit bays, podcast studio, main studio) the area must be returned to the exact manner it was when you arrived. This means all cameras need to be returned to their spaces and turned off, chairs in their original positions, cables must be properly rewrapped, etc.

Before leaving, alert MEA facility staff when you are finished with the space.

If you have questions related to equipment, reservations or your current checkout, leave a comment within your reservation or checkout on Cheqroom under the “Comments” tab. MEA staff will get back to you as soon as possible. Be sure your notifications for the app are turned on to be alerted when a response is issued. For all other inquiries, please contact your instructor.

Note: Refrain from using Slack, text or phone call to address any equipment or Cheqroom-related issues. Utilizing Cheqroom for communication ensures all staff members are notified.

Frequently Asked
Questions.

If this is occuring, that piece of equipment is either reserved by another student, or under repair. The system will not display or permit students to add equipment that is already reserved or checked out by another student.

If this happens, we suggest looking at alternative times and/or days for your reservation. Equipment becomes available at various times throughout the day as it’s returned. Even a 30-minute time difference could yield equipment availability.

You may edit your reservation in the app to add or remove items any time before the 24-hour window of your pick-up time. It should be noted that making edits within the 24-hour window will put your reservation as a draft again and reset the 24-hour window.

Note: If items are not included in your reservation at the time of your check out, we will not be able to add them during the check out process.

You may edit your reservation time as long as you do so before the 24-hour pick-up window. No exceptions can be made outside of this. Due to a limited supply of equipment, a high number of students and limited check out slots, it is imperative to strictly adhere to the time slot you select in Cheqroom.

Students who arrive at a different time than what is listed on their reservation will not be accommodated and may face disciplinary action.

Cheqroom allocates a specific timeframe for each student during equipment pickup or return. This allows our staff to efficiently handle tasks such as packing/unpacking and addressing any broken broken equipment.

Checking out or returning equipment at a time different from the scheduled time disrupts the workflow for other students and hinders our ability to adequately check out or check in your equipment within the allotted timeframe.

We are unable to accommodate same-day check outs. All equipment must be reserved within the Cheqroom app at least 24 hours in advance, following all time window guidelines.

The comment section on Cheqroom is for reporting missing equipment and/or reporting broken equipment. If you need assistance with equipment usage, reach out to your instructor.

The student picking up equipment must be the one listed on the reservation. We are unable to check out equipment to friends, family, or other group members.
Equipment and facility spaces may only be used for academic, class-assigned work. Personal projects are not allowed unless it is for an assignment given by your instructor.

Layouts and Cases.

Most of our camera kits come with a packing slip that shows where items are packed inside each of our Pelican-branded cases.

How to Use Cheqroom.

1.

Sign in to Cheqroom.

Sign in to the Cheqroom website using your student or faculty credentials.
From there, select New Reservation.

2.

Select a location.

Select “MEA Equipment” for equipment reservations.
Select “Editing Bay/Workstation,” for editing bays and workstations reservations.
Select “Podcast Studio” for podcast recording session reservations.
Select “Main Studio” for studio reservations.

3.

Select a day and time that works for you.

Cheqroom will present the available dates and times you can pick up and drop off your equipment.

4.

We need a little more information.

You’ll need a project code, the MEA course the equipment is for and the names of your group members (if applicable).

5.

Choose your equipment.

Choose your equipment.
Cheqroom will allow you to add any piece of equipment that is not already reserved and/or checked out at the same time as your reservation.
Be sure to only select equipment you have been trained or instructed to use.

6.

Confirm, verify and reserve.

Once you have confirmed and verified all information including time, date and items are correct, select Reserve.
You will be sent an email confirmation immediately.
Double check that you received it to confirm you have booked your reservation.
You will need to present this email with your reservation number at the time of pick up.
